Start with the venue, not the menu. Many villas and estates around Rome work exclusively with one or two caterers: if you have already booked the venue, ask straight away whether you can bring in an outside caterer and on what terms (kitchen fee, a back-up kitchen, set-up times). If the venue has no tie-in, the caterer becomes your main choice and is worth booking before any other supplier.
Then think about the kind of reception you have in mind. A seated lunch served at the table, a buffet dinner with themed food stations and a long aperitivo (the Italian pre-dinner drinks and nibbles) followed by a short menu all need different teams. Ask for real photos of weddings held at the same venue or in similar spaces, and for a written menu with quantities.
The tasting is where you decide: book it only with the two or three caterers still in the running, and bring whoever will be choosing with you.
Industry estimates put the average wedding catering spend at around €125 per guest, with Rome caterers roughly between €70 and €139. The price you are quoted depends on the number of courses, the open bar, the cake, waiting staff, hire of tables and place settings, and how far away the venue is. Food and drink service is charged at the 10% rate of IVA (Italian VAT): check whether the quote states prices including or excluding VAT. For the full picture, read the guide on how much catering costs in Rome.
In Rome the wedding season runs from May to October, and Saturdays in June and September are the first to go. For those dates, ask for quotes well in advance and secure the date with a deposit only after you have read the contract. A Friday or a Sunday may come with different terms: ask explicitly.
One last check concerns the logistics of the day: when the team arrives, space for the field kitchen, parking for the vans and time to clear away. If the venue has a cut-off time for music or for closing, make sure the caterer knows it and builds it into the service schedule.
Ask for a written, itemised quote: menu, drinks, staff (how many waiters per how many guests), hire, transport, and any overtime after a certain hour. Find out how they handle guests' allergies and intolerances, the children's menu and meals for the photographer and musicians. Check the deposit, the cancellation penalties and the plan B in case of rain for an outdoor aperitivo. Finally, ask who will be your contact on the wedding day.
Once you have a clear idea, request up to 3 quotes in a single request.
Industry estimates suggest an average of around €125 per guest, but the price varies a lot with courses, open bar, staff and hire. Always compare quotes with the same items.
For a Saturday between May and October, start well before the date, because the most sought-after caterers can only take a limited number of events per day. Off-season dates need less notice.
It depends on the venue: some work with an exclusive caterer, others accept outside caterers for a kitchen fee. Ask before you sign with the venue.
It depends on the caterer: some offer it free, others charge for it and then deduct it from the balance if you book them. Ask about the terms before booking it.
Many wedding caterers include the wedding cake and an open bar, or offer them as extras. If you bring them in from outside, ask whether there is a corkage or service charge.
