For a guest with coeliac disease, taking the pasta off the plate is not enough: even small traces of gluten can make them ill. So the key question is not what is on the menu but how it is prepared. Look for a caterer with a written procedure against cross-contamination: separate areas or times in the kitchen, dedicated utensils, ingredients stored apart, and dishes sealed and labelled during transport.
A useful reference is the Alimentazione Fuori Casa network of the Associazione Italiana Celiachia (AIC, the Italian coeliac association), which trains and lists venues informed about the gluten-free diet. If a caterer says it belongs to the network, you can check in the AIC guide; if it does not, ask how it trains its staff.
A gluten-free menu can cost more because it needs specific ingredients and separate preparation. For an entirely gluten-free event the price depends, as always, on format, courses and service; for a few guests with coeliac disease the caterer often prepares a separate dedicated menu. Ask whether there is a surcharge and on which dishes. For the items in a quote, read the guide how much catering costs in Rome.
EU Regulation 1169/2011 requires gluten to be declared among the allergens present in every dish, and EU Regulation 828/2014 reserves the wording "gluten-free" for foods with less than 20 mg/kg of gluten. At a buffet the biggest risk is the service: shared tongs, bread next to other dishes, guests helping themselves from several trays. Ask for gluten-free food to be served on a separate table or plated, with clear labels. For other diets, see the guide to special diets.
Always tell the caterer the exact number of guests with coeliac disease and their names, so the dedicated dishes reach the right place without passing from one tray to another. If the event is seated, ask for a place card or a label the waiter can see. At a buffet, ask for guests with coeliac disease to serve themselves first.
Ask for the procedure to prevent cross-contamination, who checks it on the day of the event and how dishes are labelled. Ask for the allergen list for every course, including desserts, sauces and beer. Check what happens with the cake, which is often made by an outside pastry shop. Then request up to 3 quotes.
It is if the caterer has a procedure against cross-contamination in the kitchen, in transport and in service. Ask for it in writing.
