How to choose a caterer for a graduation party in Rome

A graduation party has two complications: the date comes at short notice, when the university publishes the calendar of thesis sessions, and the time of the thesis defence can slip. Choose a caterer that works to short lead times and is happy to confirm numbers a few days before.

Then decide the format. Straight after the degree is conferred, near the university, a quick rinfresco (a light buffet) with sparkling wine and finger food works well. In the evening, at home or at a venue, the apericena (a long aperitivo substantial enough to replace dinner) is the most requested format because it keeps friends and family together on their feet. For close family, there is always the seated lunch.

How much does graduation catering cost in Rome

The price per person depends on format, quantities, drinks and staff. A delivered hearty aperitivo costs less than an apericena with waiters and an open bar; a served lunch costs more. If you are serving alcohol, the choice between a toast and an open bar for the whole evening makes a big difference. Ask for quotes with the same numbers and read the guide how much catering costs in Rome.

A party at the university or elsewhere

In the courtyards and lecture halls of Rome's universities, such as Sapienza, Tor Vergata and Roma Tre, the rules on food and toasts vary from site to site: check first with your department office. It often works well to have a small toast on site and the real party somewhere else. If you choose a venue, check that it accepts an outside caterer; if you choose your home or a terrace, check the space, the power supply and the building's permission.

If you are celebrating with other graduates from the same session, you can share the venue and the caterer: an apericena for a larger group costs less per person and makes for a better party. In that case, decide beforehand who deals with the caterer and how you will split the bill and the deposit, so there are no arguments at the end of the evening.

What to ask before you sign

Ask until when you can move the start time and change the number of guests at no cost. Ask for the menu and quantities per person, with the drinks specified. Check whether glasses, tables and waiters are included and who cleans up at the end. Then request up to 3 quotes.

Frequently asked questions

How much does a graduation party buffet cost in Rome?

It depends on format, drinks and staff: a delivered hearty *aperitivo* costs less than an *apericena* with waiters. Ask for quotes with the same numbers.

Can you have a rinfresco at the university after graduating?

It depends on the university and the building: some allow a toast, others do not. Ask the department office before organising anything.

What should I serve at a graduation party?

Finger food, sparkling wine and a sweet and savoury buffet are the most common choices. For a meal with family you can move to a served lunch or dinner.

How far in advance should I book graduation catering?

As soon as you know the date of your session. Many caterers accept graduation parties at a few days' notice, but in busy sessions it is worth moving earlier.

Apericena or dinner for a graduation?

An *apericena* is more informal and suits lots of friends standing; a seated dinner suits a small group of family members better.
