Event set-up

Everything that prepares the event space: tables, linen, flowers, lighting, sets. The caterer handles part of it, other suppliers the rest.

The set-up (in Italian, allestimento) is the preparation of the space: tables and chairs, table linen, centrepieces, lighting, flowers, sometimes stages and sets. It is not a single service: several suppliers usually share it.

The caterer often handles the basic table setting and the service areas, such as buffet and bar. Special colours, charger plates, centrepieces or structures may be extras or go through a decorator, a florist or a lighting company. At corporate events the set-up also tells the brand's story, with colours and graphics.

What to ask

Ask the caterer for a written list of what it brings and what it does not, and decide who coordinates everyone else. Show the caterer and the florist the same reference photos. Every venue has rules on set-up, candles and times: ask for them first. You will find the choices to make in the guide to event set-up with your caterer and the one on wedding decorations.

Frequently asked questions

Is the set-up included in the catering price?

Partly, often: tables, white table linen and basic table setting. Colours, flowers and sets are usually separate items or come from other suppliers.

Who sets up and takes down the decorations?

Each supplier its own, within the times the venue allows. Have it written in the running order and the contract.
