Running order

The written programme of the event, minute by minute: arrivals, courses, speeches, music, cake. One running order for all suppliers.

The running order (in Italian, scaletta) is the event programme in writing: suppliers' arrival and set-up times, aperitivo, entrance to the dining room, courses, speeches, dances, cake cutting, end of service. It is the document that holds together caterer, music, photographer, venue and, if there is one, the wedding planner.

Service and party alternate: the first dance between the pasta course and the main only works if the kitchen knows and keeps the plates waiting. At a gala dinner, speeches and awards set the pace of the courses. That is why you want a single running order, shared by everyone, with one person calling the times.

How to prepare it

Write it with the caterer's banquet manager or maître and send it to all suppliers a few weeks ahead, with contact phone numbers. Examples in the guides to menu courses, music with the caterer and the gala dinner.

Frequently asked questions

Who prepares the running order?

Usually the caterer or the wedding planner, with input from the couple or the company. What matters is that there is only one and it is shared.

How detailed should it be?

Enough to give the time of each moment and who does what. Times between courses are approximate, but they should be written down.
