Apericena at home in Rome with a caterer: menu, quantities, costs

Hosting an apericena at home with a caterer in Rome: pieces per person, delivery only or with staff, space, ZTL, drinks, indicative costs and questions.

Editorial team, CateringRoma.it · 7 minute read

In short

  • If the apericena replaces dinner, allow at least 12 pieces per person, plus a 10-15% margin.
  • Decide early between delivery only and delivery with a waiter: it changes the price and the evening.
  • At home the limits are space, oven and fridge. The caterer needs to know about them beforehand.
  • In the centre and in the ZTL zones, the exact address is part of the quote.

The apericena, an aperitivo generous enough to stand in for dinner, is a very popular format at home in Rome: friends standing, a glass in hand, the buffet in the living room. With the right caterer you do not spend the evening in the kitchen. Here is how to organise it.

Apericena, aperitivo or standing dinner

FormatIndicative quantity per personWhen to choose it
Aperitivo4-6 piecesBefore going out to dinner
Apericenaat least 12 pieces, with some hot dishesReplaces dinner
Standing dinnerFinger food plus 2-3 bowl dishesA long party, hungry guests

The quantities come from industry guides. They are starting points: a group of friends staying until midnight eats more than a dinner with colleagues.

How much food you need, in practice

The rules the caterer will use as a base:

  • First hour: 4-6 pieces per person.
  • Following hours: 2-3 more pieces for each hour.
  • Savoury and sweet: roughly 70% and 30%.
  • Margin: 10-15% extra.

A sample calculation for 20 guests and a three-hour apericena: 12 pieces per person makes 240 pieces; with a 10% margin you reach around 265. It is an example, not a rule: ask the caterer to adapt it to your guests. You will find more calculations in the guide to how much food you need per person.

The menu: cold, hot, seasonal

A successful apericena alternates cold pieces, something hot and a dessert. The style is up to you: Mediterranean, seafood, international or with a few Roman classics.

Cold

  • Pizza bianca (plain Roman flatbread) with mortadella, pizza rossa by the slice, focaccia
  • Crostini with burrata and anchovies, cheeses with honey and pears
  • Salmon or tuna tartare, mini sushi
  • Canapés, mini tramezzini (soft sandwiches), raw vegetables with dips
  • In summer: spelt salad in cups, caprese on skewers

Hot

  • Supplì (fried rice balls) and croquettes, courgette flowers in summer
  • Mini meatballs in tomato sauce, chicken skewers, vegetable tempura
  • A pasta dish in cups: paccheri with tomato, risotto, cacio e pepe, or pasta e ceci in winter

Sweet

  • Choux buns, mini cheesecakes, fruit tartlets, mini maritozzi (sweet cream-filled buns)
  • Sliced fruit

Delivery only or with staff

ChoiceProsCons
Delivery onlyLower cost, flexible timesSetting out, reheating and clearing up are down to you
Delivery and one waiterBuffet always tidy, hot dishes possibleHourly cost, often a minimum number of hours
Full serviceYou arrive at your own party as a guestThey need space to work

With delivery only, ask for written instructions for reheating the hot dishes: oven temperature, minutes, order. With staff, ask how many hours are included and how much an extra hour costs.

The house: what to check beforehand

  • Buffet space: one long table or two tables pushed together, away from walkways.
  • Power sockets: for food warmers, a coffee machine, perhaps a beer tap.
  • Oven: if the caterer reheats the hot dishes, how many fit in at once?
  • Fridge: empty it first. Drinks and cold desserts take up more room than you think.
  • Glasses and plates: compostable disposables, hired, or your own? Who does the washing up?
  • Rubbish: Rome sorts its waste for recycling. Ask whether the caterer takes away its own packaging.

For everything about the building, the lift and deliveries, read the guide to home catering. If the apericena is on a terrace, there is also a dedicated guide to terrace parties: wind and lifts change the plans.

ZTL, parking and delivery times

In the historic centre, Trastevere, San Lorenzo, Testaccio and Pigneto there are restricted traffic zones (ZTL) with their own hours and permits (Roma Mobilità). Give the caterer:

  • the exact address with intercom name and floor;
  • the time you will be home to receive the delivery;
  • whether there is a courtyard, a private driveway or a service lift.

A delivery an hour early is better than one half an hour late. Agree a time slot in writing.

A sample timeline for the evening

TimeWhat happensWhat you need
17:30-18:30Delivery or caterer arrivesClear table, empty fridge, intercom working
19:00First bottles, first cold plattersIce, glasses already out
20:00-20:30Most guests arriveHot pieces, pasta in cups
21:30Desserts and coffeeClean side plates, coffee machine ready
End of the eveningEquipment collected, or the next dayTime agreed in writing

The times are an example: adapt them to your evening. The point is that the caterer arrives before the guests, never at the same time.

Drinks

The caterer can supply the bar or only the food. Consider:

  • your own drinks: you spend less, but ice, glasses and fridge space are your problem;
  • drinks from the caterer: a flat rate per person or charged on consumption;
  • a bartender: for cocktails and spritz, useful above 25-30 guests (a rough guide, it depends on how many drinks you expect).

In summer in Rome, allow plenty of extra water and ice. A white wine from Lazio, such as a Frascati, is a fresh, local choice.

What it costs

The estimates found online give only orders of magnitude: roughly €10-20 per person for a basic apericena, €15-20 for an aperitivo and €20-25 for a cocktail reception. These figures are indicative: in Rome the bill changes with the number of pieces, hot dishes, drinks, staff, transport and VAT. Read how much catering costs in Rome to compare quotes item by item.

Questions to ask the caterer

  • How many pieces per person does the quote include? How many are hot?
  • Do the hot dishes arrive ready or do they need reheating? With what instructions?
  • Do you bring platters, food warmers, plates and glasses? Do you collect them?
  • How many hours does the waiter stay? How much is an extra hour?
  • Are drinks included, at a flat rate or charged on consumption?
  • Does the price include VAT? Is transport included?
  • Can you deliver in the ZTL at the agreed time?
  • Can you give me the allergen chart?
  • What happens if the number of guests goes up or down at the last minute?

Before you ask for a quote

Write to two or three caterers with the date, time, number of guests, address and whether you want staff. The quotes will then be comparable. You will find caterers offering home apericena in the apericena catering section and those for finger food. When you are ready, request a quote.

Frequently asked questions

How many pieces of finger food do you need for an apericena?

If the apericena replaces dinner, the common rule of thumb is at least 12 pieces per person. For a simple aperitivo before dinner, 4-6 pieces are enough. Always add a margin of 10-15%.

How much does a catered apericena cost per person?

The estimates you find online are only a guide: on average €10-20 for a basic apericena, €15-20 for an aperitivo and €20-25 for a cocktail reception. In Rome the price depends on quantities, hot dishes, drinks and staff.

Do you need a waiter for an apericena at home?

Up to 15-20 guests, many people choose delivery only. Above that number, or with hot dishes, a waiter for the busiest hours keeps the buffet tidy and lets you stay with your guests.

What should I ask if I live in a ZTL?

Give the caterer your exact address and the delivery time. In Rome's restricted traffic zones access has set hours and permits: it is up to the caterer to organise this, but it needs to know beforehand.
